What is outsourced office administration?

\n\nSimply put, outsourced office administration is the undertaking of regular, day-to-day administration tasks, from an office other than your own.

\n\nThere are many reasons why outsourced office administration can be of benefit, the main one being that outsourced office administrators are only paid for the work that they deliver; therefore a client saves money - they don't pay for annual or sick leave, wasted time at work, or any of the overheads that would normally be associated with a permanent employee. The cost of the end product or service is the cost to the client.

Some clients already have an office administrator but require extra help - usually at particularly busy times of the year or with a specific task that their current administrator cannot perform for them. \n\nIf you were to come on board as a long-term client, you would work primarily with one person. It's important to have a great working relationship that can only come with building trust and a good understanding of you and your business. Although your work may occasionally be undertaken by another team member (and of course you can liaise with them as well!), your go-to person will remain your key contact.

\n\nHow does it work?
\n\n
\n\nIt all depends on what the work is, but generally we'll start with a chat or an email to discuss exactly what you're after. We will then come up with a game plan and contact you with a list of questions intended to allow us to best understand what you hope to achieve from the service. For instance, if you would like templates or an instruction manual written up, we will discuss what kind of look and feel you're going for, how detailed or simple you'd like it, and create it to your specifications.

\n\nWe also have the capability to work on a long-term, ongoing basis with some clients. As we build a relationship, we gain a thorough understanding of the business and it becomes a matter of the client simply asking us to take care of something - we have already grown a knowledge bank of how the client operates, so the work becomes second nature. Alternately, there may be set tasks that need to be completed each week / month. We may be contracted to perform those tasks as required and our clients can be assured that their back-end office requirements are being looked after.

\n\nHow can you access my files (for example, tidying up electronic files)?
\n\n
\n\nTechnology is a beautiful thing! Our preference is to store files in the cloud (we can show you how if this is unclear), although if this is not your thing, there are several ways to remotely access the files on your computer, with your express permission.
\n\n
\n\nUnless specifically requested by you, we don't see or access your electronic filing system at all - our work is emailed to you or sent via email or Dropbox for particularly large files.

\n\nWhat is the turnaround time?
\n\n
\n\nOf course it depends on how big the job is - we can't produce a week's worth of work in 48 hours - and even if we could, it wouldn't be to the standard that our clients expect of us. We can give you an estimate of how long a job will take when we receive it - or you can let us know when your deadline is, and we will go above and beyond to meet it. However, if you have a 'drop everything' request, the job will incur an additional charge.

\n\nCan you scan or photocopy for me?
\n\n
\n\nGenerally, no, as we are a remote service. Although as with all rules, there are exceptions - if for instance you had a large volume to be scanned in to your system (for example, prior to archiving), we can arrange a courier to pick up and drop off when complete. This would be deemed a project, rather than ongoing work and would incur additional courier charges.

\n\nDo you offer bookkeeping services?
\n\n
\n\nNo. While we can assist with limited bookkeeping services, we are not bookkeepers.

\n\nHow much does it cost?
\n\n
\n\nThe all-important question! We believe in transparency when providing costs, however it is important to note that this is intended only as a guide and an accurate cost will be confirmed on discussing your specific needs.
\n\n
\n\nWe generally work under one of three fee structures, and a 'drop everything' rate:
\n\n
\n\n1. Basic fee
\n\n$50 p/h + GST
\n\nPopular with first-time clients and overflow based work. 15 minute minimum, then billed in 5 minute blocks
\n\nthereafter.
\n\n
\n\n2. Large project
\n\n$45 p/h + GST
\n\nWe define a large project as being a singular project that is estimated to take in excess of 10 hours to
\n\ncomplete. Large projects can often involve unexpected turns or 'tweaking' to get the end result just right. For this reason we offer a reduced overall cost and a 10-hour minimum agreement.
\n\n
\n\n3. Ongoing support
\n\n$40 p/h + GST for an agreed minimum hours per week/month; then $50 p/h + GST thereafter
\n\nThis fee structure requires a formal contract and at least two weeks' cancellation notice from
\n\neither party on early termination of the contract. This fee structure includes large project support.
\n\n
\n\n4. 'Drop everything'
\n\n$80 p/h + GST up to 4 hours; then $90 p/h + GST thereafter
\n\nPlease check with us prior to requesting a 'drop everything' job. Depending on the complexity of the work and
\n\ntime its estimated to take, we may be able to accommodate the work under a regular fee structure.

\n\nAll of our invoices include a detailed work log.
